Specialized licenses, step by step.
Use this guide to request, submit, and review credentials that a project or work site asks for. Examples are illustrative; requirements vary by business, project, and site.
For the contractor or subcontractor owner
Request a credential and review its submission
Specialized licenses are separate records for credentials beyond a COI or W-9. For example, a job may call for a forklift or aerial-lift operator credential, or a site-specific safety credential. These are examples, not a universal checklist.
What the status means
Current or expired is based on the submitted expiration date. SubCertify stores and displays the submission; it does not independently verify a credential or decide whether it satisfies a job or site requirement.

Add the subcontractor
Open the subcontractor register and save the business record. Add the contact details you have so you can send the private upload link.

Create and share a private upload link
Open that subcontractor’s record and create an upload link. SubCertify can email it to the saved contact, or you can copy and share the link yourself.

Ask for each credential you need
Tell the subcontractor which COI, W-9, or specialized credentials the work requires. Each specialized license is submitted as its own entry with a name, expiration date, and file.

Review the record and download documents
In the subcontractor record, review each submitted license name, its current or expired status and expiration date, the uploaded filename and upload date, and download the file when needed.
For the subcontractor
Submit documents from your private link
You do not need to create an account. Open the private link from the business that requested your paperwork, then upload the requested documents for that business.
A note about credentials
Examples such as forklift, aerial-lift, or site-specific safety credentials are illustrative. Follow the requesting business’s instructions for the job; the displayed status reflects the date you submit and is not an independent credential check.
This guide does not include an upload link. Use the private link from the requesting business.

Open the link and check what is requested
The page identifies the requesting business and shows the COI, W-9, and specialized-license upload areas. If the link is unavailable, ask that business for a new link.

Upload the requested COI and W-9
Choose a PDF, JPG, or PNG file up to 10 MiB for each request. You can replace a COI or W-9 by uploading a new file for that document.

Submit each specialized license separately
For every requested credential, enter its name, expiration date, and a PDF, JPG, or PNG file up to 10 MiB, then submit it. Submit another credential as a separate entry.

Check the submitted list
After submitting, confirm the license appears in the list with its name, expiration status and date, filename, and upload date. The requesting business can review and download that file from your record.
